The local organizing committee would like to give all registered and potential conference participants a general news update on CHEP 2012

Registration and Travel Information

  1. The early bird registration deadline is Feb. 6. After that date, higher registration fees will apply. We encourage everyone to register early and help us estimate more accurately the total number of attendees.
  2. Special rates for most hotels expire between Feb. 12-20. We were informed yesterday (Jan. 3) that single rooms at the Hampton Inn are no longer available due to demand from CHEP participants. We expect other hotels to fill up quickly, too, as we approach the Feb. 6 early bird registration deadline. The special rates are only valid with a discount code, and the discount code is only sent to registered participants.
  3. Final draft of all papers (including approval by respective collaborations) must be submitted by Friday, May 25 (the last day of the conference). Conference proceedings will be sent to the publisher following a review by the Program Committee by July 2012. THIS IS A CORRECTION TO A PREVIOUS MESSAGE, IN WHICH AUTHORS WERE MISTAKENLY GIVEN UNTIL JULY 2012 TO SUBMIT PAPERS. Further details on paper format and length will be given in the 3rd conference bulletin.
  4. Registered conference participants who require a letter of invitation in connection with a US visa application should contact chep2012@bnl.gov. The local organizing committee will send the invitation letters, beginning in January.

The 3rd conference bulletin will be published on Feb. 3. It will contain details on the program timetable and social events, instructions for poster presenters and other general updates.
